Guide for customers

What somebody at a customer sees — signing in to the Customer Center, documents, appointments, invoices, signing and booking pages

This guide is for the people at an organisation's customers, and for staff who want to know what their customers see. Customers never see Enclessa's own screens: they sign in to the Customer Center, sign documents through a link, and book appointments on a public page. None of it needs an Enclessa account.

What you can do

What you may do in the Customer Center is set for you personally by the organisation you work with. It can include:

  • Read documents (always on)
  • Upload files
  • Sign
  • Book appointments
  • Work through the onboarding
  • See invoices

A step or page your access doesn't allow says so and names who can turn it on.

Sign in to the Customer Center

Open the sign-in link from your email. It opens "Signing you in" and lands on a page showing the organisation's mark.
A link works once and stops working after 15 minutes. An old link leads to "This link is no longer valid".
There, enter Your email address and click Send me a link to get a fresh one.

The navigation is Start, Steps, Documents, then Appointments and Invoices if your access includes those. Under Account you choose your Language and Appearance, and Sign out.

Work through your onboarding

Start greets you by name and shows the onboarding's progress. Choose Open the steps, or look under Waiting for you.
Steps lists "Your next steps" in order, marked Done, Open, Later (locked by an earlier step) or With us (the organisation's part).
Open a step and do what it asks: read, watch a video, answer a questionnaire, upload a file, sign or book an appointment.

Read and sign documents

Open Documents. Each packet lists its documents as To read, To confirm, To sign or To accept. Files the organisation shared with you are under Other files.
To sign, open the document and sign it — Draw or Type your signature.
Tick the declaration and use Slide to sign. If you do not agree, choose Decline.
A quotation is accepted with Slide to accept.

Only a business can accept a quotation in the Customer Center. A consumer accepts another way, as agreed with the organisation.

Book and see appointments

Open Appointments: Your appointments lists what is booked.
Choose Book an appointment, pick a kind, a day and one of the Available times.
Choose Confirm the appointment — or Request the appointment if it needs the organisation's approval first.

See your invoices

Open Invoices. Still open shows the totals, followed by Open, Paid and other documents and Voided, each with a PDF to download.

Sign a document sent by email

Some documents arrive as a signing link by email instead of in the Customer Center.

Open the link from the email. The page greets you by name.
Press Send code, enter the six-digit code sent to your address and press Confirm.
Fill the fields, tick the consent statement and press Sign — or Decline.
When everybody has signed you receive an email with a link to the sealed document. Press Download PDF.

The signed copy can be downloaded for thirty days after the last signature — save it. If the page says "This link no longer works", ask the sender for a new link.

See Sign as a customer or external recipient.

Book through a booking page

Open the booking link the organisation gave you, or the booking form on its website.
Pick a date and time, enter your contact details and confirm.
The confirmation email carries a reference and a link where you can Move to another time or Cancel this appointment.

For staff: giving a customer access

Open Customer Center → Invitations, or the customer's Customer Center tab, and click Give somebody access.
Choose the Contact — the person must already be a contact on the customer record.
Under May, tick what this person may do. Every option except Sign and See invoices starts ticked.
Leave Send the sign-in link now ticked and click Give access and send the link.

Sign is the one option not ticked by default — decide on it for each person. Access lapses by itself after 180 days by default; Revoke stops it immediately.

See Give someone at a customer access.

Who can do what

WhoCan
A person at a customerOnly what was ticked for them, on their own customer record
Staff with portal.identity.manageInvite, send sign-in links, revoke, change a person's options
Staff with portal.sendSend and withdraw document packets, activate onboardings, share files

The customer-side options belong to one person and their own customer record. They are not roles and can never be given to a colleague. See Customer Center roles and permissions.
