Journeys across modules
The work that runs through several modules, step by step — customer to invoice, hiring to leaving, planning to delivery
Some work does not stay in one module. These journeys follow it from start to finish; each step links to the guide for the module where it happens.
Customer to invoice
A typical sale goes customer → quotation → contract → signature → invoice.
Record the customer. In Customers, press Add a customer — a name is enough to save. Link the customer to Lexware from its Finance tab with Send to Lexware before you bill them. See Add a customer.
Write the quotation. On the customer's Finance tab press New quotation, fill in the lines, work through the readiness findings and choose Send to Lexware. See Write and send a quotation.
Have it accepted. In Lexware, or — for a business customer — in the Customer Center, by adding the quotation to a document packet. Once Finance › Quotations shows it Accepted, its page offers the next steps. See Follow up an accepted quotation.
Draft the contract. On the accepted quotation choose Draft a contract. It is filed under the same customer; review it, then issue it with Slide to issue and sign. See Review and issue.
Get it signed. On the issued contract press Send for signature. When the customer's contact signs, the sealed result is filed as the contract's countersignature. See Have a contract countersigned.
Book the work. Hours booked in Time become invoice drafts under Finance › Billing. See Book time on a project.
Invoice. Under Finance › Billing, pick a period and Prepare invoice drafts, then Send to Lexware as a draft. The final number, PDF and sending happen in Lexware. See Bill booked hours.
The customer's side. The customer sees their documents and invoices in the Customer Center. See What the customer sees.
An engagement in Finance keeps track of the legal steps along the way — the terms, the withdrawal notice, the acceptance, the data processing agreement, the handover and the archive. See Run an engagement.
Hiring to leaving
Hire. In People → Employees select Add somebody. Leave Start onboarding on and the matching onboarding template runs. See Hire somebody and start their onboarding.
Onboard. Work through the onboarding board in People → Onboarding. Steps can reach into other modules — invite an account, add somebody to a team, set a working week in Time. See Work through onboarding and offboarding.
Issue the business card. In Cards → Administration, under The cards, select Issue a card. Every line is read from the People record. See Issue, withdraw or bring back a card.
While employed. Absence and hours live in Time; changes to the record are asked for with Me → Ask for a change and decided under People → Requests. See Time and Handle change requests.
Leaving. Record the leaving date on the record's Employment tab, then start the offboarding. Deactivating the account is a step of the offboarding workflow. See Record a leaving date and offboard.
Planning to delivery
Start the project. In Projects press Start a project: owner, dates, budget and whether time is tracked on it. See Start a project.
Plan the work. Create a board in Boards and name it under the project's Settings → Boards. Add milestones from the project's tabs. See Create a board.
Book the hours. Book time on the project's overview opens Time → Project time with the project already chosen. See Book time on a project.
Keep the dates in view. Board due dates, project end dates and milestones show up in the Calendar and on Today. See Calendar and Today.
Report progress. Write a project Update with a health whenever it changes; the Portfolio reads it. See Work inside a project.
